Top tips on planning your event

Think you’ve got what it takes to organise a National Youth Week (NYW) 2012 event?

Whether your event is big or small, independent or hosted on behalf of the NYW team, you will need a good plan to get it up and running. Here are some things to think about before you get started:

  • Who is your event for?
  • When and where?
  • Do you need additional equipment or are there any special requirements?
  • If you’re organising a NYW event, how will it incorporate the Imagine. Create. Inspire theme?

It’s best to lock in the basics before you move onto the finer details.

Who is your event for?

Your event could be for your school, community group, sporting club, university, workplace...anyone really. It might sound basic, but once you work this out everything else will start to come together. Who your event is for can affect things like where you will hold it and how you will promote it, or send out the invitations.

When and where?

So you know who you’re inviting, now where do you hold your event? If your event is for your school or university there should be someone in the administration unit who will be able to tell you if you are able to hold it there and how to go about it. If your event involves a sporting club or community group you could talk to your coach or community leader about your event and where it could be held.

Your local council will also be able to assist you if you would like to use a community hall, park or public area near you. This option could incur a fee, so make sure you ask about it.

Do you need additional equipment or are there any special requirements?

If you want to invite a guest speaker to your event or if you’re planning some entertainment, you’ll most likely need some audio equipment to make this happen for example, a microphone, speakers or lectern. You should check to see if your venue has the equipment available and if there is a cost to use it. If audio equipment is not available, you should be able to hire the equipment at most party hire stores.

If you’re planning on having food or catering at your event you will want to consider your guests’ dietary requirements. It is a good idea to put a note about dietary requirements in the RSVP section of your invitation and ensure there is a variety of food. Common dietary requirements include vegetarian, nut free, gluten free or seafood free.

The NYW 2012 theme is Imagine. Create. Inspire. You should try to incorporate this into your NYW event. Keep an eye on the media page for materials to help you promote the theme and your event and remember that how you interpret the Imagine. Create. Inspire theme is up to you!
